Minutes of LAAS Executive Meeting held on the 11th April 2009

  1. The meeting opened with the distribution of two list of Committees to the conveners by the General Secretary
  2. The request made by the Loreto Convent School staff for buckets. mugs, blankets and bed sheets was read out. The members agreed to help by personal donation of the above. Two request for volunteers by the school will also be met
  3. The General Secretary requested the Conveners to meet the members of their committees after the 18th April 2009 General Body Meeting. The Conveners are to collect contact members from each member. The work of each committee was then discussed in detail
  4. The Coupon Committee for the Alumni Dinner on the 20th May 2009 was requested to print a Receipt Type of Book to be signed by each member on the 18th April 2009 before issue of IDs. This book will mention how many heads are to be counted for the dinner and the statement will be binding on the member. payment of Rs. 400/- per head must be made for the guest.
  5. The decoration Committee has been requested to plan the theme for the reunion program and the Dinner respectively and an estimate of expenditure be given before 17th April 2009
  6. The Dress Code for the morning Reunion Program will be semi-formal and for the alumni Dinner - formal wear.
  7. It was decided that the CDs of AROHA Concert be sold in the Souvenir Shop to raise funds for the association
  8. It was decided that the Souvenir Committee will ensure that a single member will receive one souvenir. No one can collect for absentee members.
  9. There will be an official photographer for the function. John will be given the appointment.
  10. The finance committee must meet on the 17th April 2009 to prepare the Final Budget which is to be presented on the 18th April GB meeting.
  11. Registration etc for outstation members to be opened from the 16th May - 20th may 2009
  12. The sponsor Committee to co-ordinate with Acknowledgement committee for correspondence.
  13. The Souvenir magazine rated at Rs250/- each will now be sold and not given free to the alumni members
  14. Any Loreto Alumni ( not from Loreto Convent Shillong) to pay Rs. 1000/- for participation in the reunion program and Rs. 400 per head for the Alumni Dinner
  15. The meeting ended with an appeal by the General Secretary for all to work as one team and also in close coordination with the school. Any opinion/Suggestion must be offered now and not after the Centenary Celebration. All members agreed to work hard and as ONE.
