Annual General meeting of the LAAS
Held on the 6th September 2008 at Loreto Convent Hall at 2:00 pm

Minutes of the Annual General Meeting:

1)      Registration of past pupils began at 2 pm

2)      The AGM began at 2:30pm with a welcome note by the President LAAS

3)      In the welcome note, the President also made an introductory mention the new Patron, Sister Ponnamma T.Nadackal IBVM (Mother Superior and the new Principal Mrs. Catherine Nongrum)

4)      The General Secretary then took over to mention a few points to be discussed after which the presentation was done by the Co-ordinating Secretary.  This is briefly summed up as follows in the different sections below:

 INTRODUCTION

  1. A brief Introduction and  background of LAAS
  2. upcoming Centenary celebrations  in May 2009 along with the Anniversary of Mary Ward
  3. Activities carried out by the Executive Committee since elected in Oct 2007 including a Treasurers Report.(There have been 11 monthly meetings till date, a group mailing correspondence thro’ the internet between the past pupils worldwide, there has been fund raising activities, And future fund raising activities would be under consideration & discussion at the AGM).
  4. The main events for the Centenary Celebrations would be held from the 18th-23rd, May 2009; the dates of which had come to a consensus with the school authorities at an earlier meeting. Different activities for the Centenary Celebrations have been chalked out.

PROPOSALS

The following were proposed:

  • The Centenary Participation Fees for the Past Pupils would be Rs. 500 (per head) per day and a consolidated amount of Rs. 3,000 per head for the 6 day event. This amount was later discussed in detail, taking into consideration the students community and the working individuals.
  • Souvenir shop
  • Release of a Commemorative Postage stamp
  • A theme song for the Centenary celebrations
  • A logo for the Centenary
  • Setting up a monument of Mary Ward  in the school premises
  • AMENDMENTS TO THE PRESENT CONSTITUTION OF LAAS AND FRAMING OF BYE LAWS.NEEEDS IDENTIFIED ON PRIORITY BASIS
  • A logo for the Centenary
  • Sponsors for the Souvenir Shop
  • Souvenir magazine – articles, photographs and advertisements are of utmost importance
  • Funds (in the form of sponsorships , donations )

 With regard to the proposals and needs mentioned above, there was a lot of interaction between the Executive Committee members and other past pupils present at the meeting.

    The items (such as mugs, plates, t-shirts, stationery items, Meg Jams & Squashes, Fridge magnets etc) for the Souvenir Shop were also discussed, and sponsorship and details for these would be sought out by the Executive Committee members.

  • Since necessary information had been gleaned about the inability of a postage stamp being released on time for the Celebrations, it was decided that envelopes with the Loreto Centenary insignia would be printed.
  • AMENDMENTS TO THE CONSTITUTION OF LAAS  PASSED ON THE DAY

 The MEMBERSHIP fees OF A REGISTERED ALUMNI MEMBER were agreed upon as follows: Monthly Rs.50, Annual Rs. 500, and Lifetime Rs. 5000/- and above. If a member fails to pay for 2 years, she will be expelled and would have to re-register. The REGISTRATION FEES of a new member would be Rs 100/- only

  1. (ARTICLE XIII) Any Monetary Transaction be made will bear the signature of the GENERAL  SECRETARY  & TREASURER OF LAAS only.
  2. The Executive Body Committee of LAAS was given the Authority by the General members present at the AGM on the 6th of Sept 2008 to prepare the DRAFT BYE LAWS of the constitution of LAAS which will be placed before the next AGM for approval.
  3.     Donations and Contributions from members could be sent to                SBI Dhankheti, SWIFT CODE= SBININBB303 LORETO ALUMNAE SHILLONG A/C NO 3000131707-2, in favor of Loreto Alumnae Shillong.
  4. Finally, the Executive Committee members were introduced to the General Members, the meeting was concluded with vote of thanks by the President, followed by light refreshment. 

 The NEXT Executive body meeting would be held on Saturday the 27th of September at 2.30 pm in the School Library.
